1. Who we are

Contrack ("we", "us", "our") provides field-service and job-management software to tradespeople. Our registered contact address is available at privacy@contrack.ie.

2. What data we collect

We collect the following categories of personal data when you use Contrack:

• Account data — name, email address, hashed password, and trade type provided during registration.
• Business data — customer names, addresses, phone numbers, and email addresses that you enter while managing your business in Contrack.
• Usage data — pages visited, features used, and error reports. This data is collected only with your consent via analytics cookies.
• Technical data — IP address, browser type, and device information collected automatically to operate and secure the service.
• Payment data — billing information is processed by Stripe. Contrack does not store raw card numbers.

3. Legal basis for processing

We process your personal data on the following legal bases under the GDPR:

• Contract performance — to provide the Contrack service you have signed up for.
• Legitimate interests — to detect and prevent fraud, abuse, and security incidents.
• Legal obligation — to comply with applicable laws and regulations.
• Consent — for analytics cookies where you have opted in.

4. How long we keep your data

Account and business data is retained for the duration of your subscription plus 90 days following cancellation, after which it is permanently deleted. Audit logs and financial records are retained for 7 years as required by applicable tax law. Analytics data is retained for 12 months.

5. How we share your data

We do not sell your personal data. We share data only with the following sub-processors who provide infrastructure, payment processing, and analytics services under contractual data-processing agreements:

• Stripe — payment processing
• SendGrid — transactional email delivery
• PostHog — product analytics (with your consent)

6. International transfers

Where sub-processors are located outside the European Economic Area (EEA), we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission.

7. Your rights

Under the GDPR you have the right to:

• Access the personal data we hold about you
• Rectify inaccurate data
• Erase your data ("right to be forgotten")
• Restrict or object to processing
• Data portability
• Withdraw consent at any time (for consent-based processing)
• Lodge a complaint with the Data Protection Commission (Ireland)

9. Changes to this policy
